Terms & Conditions
Last Updated: October 2026 · Standard terms for event photo booth rentals by PRC Photobooth Events.
1. Agreement Overview
These Terms and Conditions govern all photo booth rental reservations, service agreements, and equipment hire provided by PRC Photobooth Events ("Operator") to the client ("Client"). Submitting an inquiry, signing a written proposal, or remitting a retainer deposit signifies Client's agreement to these terms.
2. Booking, Retainers & Payments
- Date Reservation: Event dates are reserved on a first-come, first-served basis only upon receipt of a signed agreement and the required non-refundable retainer fee.
- Balance Due: The remaining contract balance is due prior to the event date (typically 14 days prior, as specified in your individual contract proposal).
- Payment Methods: We accept approved electronic bank transfers, credit cards, and invoicing platforms. Checks must clear prior to the event setup date.
3. Venue Access, Space & Power Requirements
A. Setup & Teardown Access: Client is responsible for ensuring Operator has access to the venue at least 60–90 minutes prior to the scheduled start time for setup, and 45–60 minutes following the event for breakdown.
B. Space Requirements: The Client must provide a clean, level, solid indoor surface of at least 10ft x 10ft with a minimum 8.5ft ceiling clearance for our photo booth setup.
C. Power & Wi-Fi: Client must provide a dedicated, standard grounded 110V/15A electrical outlet within 20 feet of the designated booth location. For instant social sharing, a reliable venue Wi-Fi network or cellular reception is required; in instances of poor network connectivity, digital queues will upload once connection is restored.
D. Outdoor Events: All outdoor installations must be approved in advance. Outdoor setups strictly require a fully enclosed canopy/tent on three sides, overhead rain and direct sunlight protection, and a dry, flat surface. Operator reserves the right to halt operations in adverse weather to protect equipment and guest safety.
4. Cancellation, Rescheduling & Force Majeure
- Retainer Policy: The initial retainer deposit is non-refundable as it covers date exclusivity and event preparation.
- Client Rescheduling: If Client requests a date change with at least 30 days written notice, the retainer may be transferred to a new date within 6 months, subject to equipment and crew availability.
- Unforeseen Circumstances: Neither party shall be held liable for failure or delay in performance resulting from acts of God, severe weather emergencies, government restrictions, or structural venue disasters beyond reasonable control. In such events, best efforts will be made to reschedule.
5. Equipment Safety & Guest Conduct
The Client is responsible for maintaining orderly conduct around the photo booth area. Operator attendants reserve the right to suspend or close operations immediately without refund if guests engage in abusive, disorderly, or reckless behavior that risks damage to cameras, lighting, touchscreens, backdrops, or injury to guests or staff. Client assumes financial liability for any damage to or theft of Operator equipment caused by event guests, vendors, or invitees.
6. Media Release & Copyright
Client grants PRC Photobooth Events the limited, royalty-free right to display photographs and video clips captured during the event for portfolio, website, and promotional purposes, unless Client explicitly requests a confidential or non-disclosure event prior to the event date. All custom graphic templates, overlays, and software configurations created by PRC Photobooth Events remain our intellectual property.
